Glossary

Organization — The school, company, or tour operator running trips in Tour Planner Pro. Staff work inside one active organization at a time (or switch between allowed orgs).

Trip — A single tour or program with its own roster, dates, modules, and settings.

Traveler / attendee — Someone traveling on the trip. They typically use the attendee portal for their own profile and payments.

Roster — The staff view listing everyone on a trip (the sidebar item is labeled Roster).

Trip supervisor — A staff role that can configure modules, see supervisor-only reports, and manage most trip operations. Exact permissions can vary by organization.

Chaperone — An adult leader on the trip. Chaperones may use the chaperone portal with extra tools such as Attendance when enabled.

Family portal — A separate sign-in for family members who are linked to travelers to view information and pay balances when allowed.

Module — A feature area toggled per trip (for example Financials, Rooming, Documents). If a module is off, related menu items stay hidden.

Workspace subscription — The annual fee your organization pays to use Tour Planner Pro software. It is not the same as traveler trip card payments.

Restricted trial — While the org’s Stripe subscription is trialing and no paid workspace invoice has been recorded yet (and the org is not waived), platform Email Center, email-based invites, and traveler card checkout are off. Other trip work (roster, offline payments, join codes copied manually) can continue.

Getting human help — For account access, payments, or policy questions, contact your trip supervisor or organization administrator. Tour Planner Pro documentation cannot reset passwords or change billing on your behalf.
